The Time Sheet Conversion Tool is a utility that takes the timeheets that are exported from When I Work and converts them into a file format that is able to be processed by Cedar Park's finance and payroll systems.
The import from When I Work must be a CSV file. However, the file that When I Work generates is an Excel file. A quick conversion within Excel is required. The resulting CSV file from the Time Sheet Converstion Tool is acceptable for Cedar Park as it is.
- How to Use the Time Sheet Converstion Tool
- Log into When I Work, and access the Timesheets page from the Attendance Menu.
- Using the menu bar on the left, click the Export button.
- Choose the appropriate export for your needs and download the file.
- Open the downloaded file within Excel and ensure that you are on the Tab that displays all of the individual time punches. This tab is usually labeled as the date range for your export.
- Click the "Enable Editing" button accross the top of Excel that appears when you download a file from the internet.
- On the File Menu tab, choose Save As.
- Choose your save as destination, set a file name (any name is acceptable), and ensure that you change the "Save as type:" drop down to CSV (Comma delimited) (*.csv).
- Click Save.
- On the Timesheet Converstion Tool, ensure that you are on the Import Timesheet tab, and click the File Upload form.
- Select the file that you saved, choose Open and then click Upload.
- If your file did not include positions for staff that have not been processed before, your converted timesheet will then be displayed for your review. Click Export to PDF to download the exported time sheets.
- If your file contains positions that have not been processed before, you will need to either add those new positions to the database via the Manage Jobcodes page.
If there are errors in your file from When I Work that prevent processing the file, those errors will be displayed. You will need to correct those errors within When I Work and then process the file through the Timesheet Converstion Tool again.
